The 30 days

A pilot that runs itself is a pilot that doesn’t convert. Every 30 days is scheduled end-to-end.

  1. Step 01Day 1–2

    Setup call.

    Fifteen minutes. We connect your CASPER/iQIES, take CMS-2567 uploads, and load your staff roster — CSV bulk import if you have one, otherwise we'll capture it on the call. Ingestion starts the same day; you see activity in the dashboard before you hang up.

  2. Step 02Day 7

    Baseline report.

    Your facility's deficiency history, open Plan of Correction exposure, credentials expiring in the next 90 days, documentation gaps a surveyor would cite. The picture the state would have on day one.

  3. Step 03Day 14

    Mid-pilot check-in.

    Call. We walk through Plan of Correction drafts for anything open, answer questions, wire in anything we missed. Administrator, DON, whoever should be in the room.

Do I need a credit card to start?
No. The 30-day pilot takes an email, a facility CCN, and a setup call. We don't ask for a card until you tell us on day 30 that you're continuing. No auto-conversion, no surprise charge.
Why not a 14-day or 60-day trial?
14 days isn't enough time to loop in the DON, the owner, or the compliance consultant — multi-stakeholder alignment alone takes two to three weeks in senior living. 60 days kills urgency; the buyer drifts, the pilot sits unused in weeks 5–7, and the day-60 call happens with less engagement than day 30 would have. 30 is the window where our highest-value events (a new survey, a reg memo, an expiring credential) are probabilistically likely to fire. Groups of 3+ facilities can ask for 60 — regional and ownership reviews need the runway.
What's the 90-day money-back guarantee?
If you convert on day 30 and nothing meaningful has happened by day 120 — no new survey, no regulatory memo that applied to your state, no credential caught before expiration — we refund the first 90 days of paid service. Wardwell's value is event-driven; extending the risk reversal lets you commit on day 30 without worrying that your first paid quarter was a quiet one.
Can I extend the pilot past 30 days?
One 14-day extension, and only if there's a specific stakeholder meeting on the calendar — ownership review, board meeting, the monthly QAPI committee. We don't extend for 'we haven't gotten to it yet.' The structure is what makes the pilot work.
Is there really no contract?
Month-to-month. You can cancel at the end of any billing cycle. We'd rather earn your renewal every month than lock you in.
What's included in the 30-day pilot?
Everything. We pull your last three surveys, build your compliance dashboard, map your staff certifications, and draft Plans of Correction for any open deficiencies. Six scheduled calls across the 30 days — setup, baseline report, two check-ins, decision call, go-live. No feature gates.
Do I need to install anything?
No. Wardwell is web-based. You'll give us CASPER/iQIES access at the setup call (or upload your last CMS-2567 if iQIES access takes a few days to sort) and we pull public CMS Care Compare data on our own. Wardwell works alongside whatever EHR you use — PointClickCare, MatrixCare, or paper — without replacing it.
Can I add facilities later?
Yes. Add or remove facilities anytime. Billing adjusts the next cycle.
Do you cover my state?
We're launching in Florida, Texas, Ohio. If you're in another state, let us know — we're expanding based on demand and can usually add a new state within 30 days.
Who sees my data?
Only you and the Wardwell team working on your account. We don't share facility data with anyone — not other facilities, not CMS, not your state survey agency. Your data stays yours. See our Privacy Policy for the full details.
